How to read a carrier's public FMCSA profile.

The Company Snapshot is FMCSA's free, public file on a motor carrier — who they are, whether they're authorized to operate, how big they are, and two years of roadside inspections and crashes, drawn from the same national database (MCMIS) behind carrier safety scores. This guide walks the whole page — and the handful of fields people most often misread.

Read this first

A snapshot is a point-in-time record, not a verdict. Read both status lines first — USDOT status and operating-authority status mean different things. Most carriers show no safety rating, which means no review has happened, not that they're unsafe. Fleet numbers are self-reported. And crashes show involvement, not fault.

What it is

The single most-used FMCSA public lookup: a condensed, free view of a carrier's federal record — pulled straight from MCMIS, no login required.

The free public profile

A Company Snapshot is a condensed view of a carrier's profile as maintained by FMCSA's Motor Carrier Management Information System (MCMIS). It pulls together the carrier's location and identification, what kind of operation they run, the cargo they carry, a 24-month inspection and crash summary, and any safety rating — onto one page, free, with no account, at safer.fmcsa.dot.gov. "Company" here means any motor-carrier industry entity: carriers, but also shippers, brokers, freight forwarders, and registrants.

Looking one up

Search by USDOT number (the cleanest — it's an exact match), by MC number, or by company name. The USDOT number is the carrier's permanent census ID and every active carrier has one; the MC number is interstate operating authority, which not every carrier needs. A single free search returns one company at a time.

Snapshot vs. the paid profile

The free snapshot is the summary. FMCSA also sells a Company Safety Profile (CSP) with itemized inspection and crash detail. For reading and vetting, the free snapshot covers the essentials — the CSP is for when you need the line-item history.

A moment in time

SAFER holds only the most current load — it doesn't keep snapshot history. The numbers you see reflect the latest monthly refresh from MCMIS, so a very recent change (a new inspection, an updated registration) may not appear until the next cycle.

What's in it

A snapshot reads top to bottom in a few blocks: who they are, how they're identified, what they do and how big they are, and their 24-month safety summary.

Self-reported. Power units, drivers, and mileage all come from the carrier's MCS-150 — refiled only every two years, so read them as a size indicator, not a live count.

Two separate statuses, read both. "USDOT Status" only says the DOT number is active; "Operating Authority Status" says they're cleared to run interstate for-hire. A number can be active while authority is "Not Authorized."

Under a reciprocity agreement, the snapshot also shows Canadian vehicle and driver inspections and crashes (fatal, injury, and significant-property-damage). Same idea as the U.S. tables — just a separate count, and without a Hazmat inspection line.

Reading it

Six things that change what the page actually tells you — and keep you from misreading a normal carrier as a problem, or the reverse.

Read both status lines

USDOT Status = is the DOT number active. Operating Authority Status = cleared to run interstate for-hire. The trap: Active + "Not Authorized" looks live but can't legally haul for hire — the single most-confused thing on a snapshot.

"Not Authorized" ≠ defunct

It doesn't apply to private or intrastate operations — a legitimate private fleet or intrastate carrier can show "Not Authorized" and be perfectly fine. It only flags a missing interstate for-hire authority.

Unrated ≠ unsafe

A safety rating exists only after a review. Most carriers have never been reviewed and show "None." Treat a blank rating as "no review on file," not as a grade.

Fleet numbers are self-reported

Power units, drivers, and mileage come from the MCS-150 and update only every two years. Useful as a size indicator; not a live or audited headcount.

Crashes = involvement, not fault

The crash count is reportable-crash involvement, with no determination of responsibility — exactly like a driver's PSP. Don't read the number as blame.

OOS rate in context

Compare the out-of-service percentage to the national average shown, but weigh it against the inspection count — a handful of inspections makes any rate volatile.

What the snapshot doesn't show

It's a summary, not the whole file. It won't show the carrier's detailed operating-authority and insurance filings, their current insurance status, or anything about individual drivers — those live in other FMCSA systems. The snapshot tells you who, how big, authorized or not, and a safety summary; for the rest, follow the links at the end.

Keeping it current

Almost everything on the page traces back to the carrier's own filings — which is also how it gets fixed.

It comes from their filings

Identity, size, operation type, and cargo all come from the carrier's MCS-150 registration. Carriers must refile every two years — let it lapse and the USDOT number flips to "Inactive." An overdue MCS-150 is itself a freshness signal: the numbers may be years old.

Fixing wrong safety data

An inspection, crash, or rating that's wrong can be challenged through FMCSA's DataQs system — the same correction channel behind carrier scores and driver records.

Company Snapshot: FMCSA's free, public, one-page summary of a carrier's MCMIS record — identity, size, operation, and a 24-month safety summary.
SAFER: Safety and Fitness Electronic Records — the public FMCSA system that serves the snapshot at safer.fmcsa.dot.gov.
MCMIS: Motor Carrier Management Information System — the federal database the snapshot is drawn from.
USDOT number: A carrier's permanent census identifier. Every active carrier has exactly one; it never changes.
MC / MX / FF number: Interstate operating authority issued by FMCSA. MC for motor carriers, FF for freight forwarders. Not every carrier needs one.
Entity type: What the entity is: carrier, shipper, both, broker, freight forwarder, or registrant.
Operation classification: The kind of motor carrier — e.g. Authorized For-Hire, Exempt For-Hire, Private. A carrier can hold more than one.
Operating status: Whether the carrier may operate: Active / Authorized, Out-of-Service, Not Authorized, or Inactive.
USDOT Status: Whether the carrier's DOT number is Active, Inactive (biennial MCS-150 not filed), or Out-of-Service.
Operating Authority Status: Whether FMCSA authorizes the entity for interstate for-hire work: "Authorized For…" or "Not Authorized." Separate from USDOT Status.
Out-of-Service order: A federal order barring a carrier (or vehicle/driver) from operating until issues are resolved.
MCS-150: The registration form carriers file (and refresh every two years) that feeds identity, size, and mileage.
IEP: Intermodal Equipment Provider — a fourth inspection column on the snapshot, for chassis/equipment providers.
Safety rating: From a compliance review: Satisfactory, Conditional, or Unsatisfactory. "None" means no review has been done.
Out-of-service rate: The share of a carrier's inspections that resulted in an out-of-service order, over the most recent 24 months.
Company Safety Profile (CSP): FMCSA's paid, detailed report with itemized inspection and crash records — beyond the free snapshot.
